How to Budget for a Wedding in Sonoma County: Expert Tips for Making the Most of Your Wedding Budget

By Caitlin Paine | Director of Sales & Client Relations, Villa Chanticleer

Planning a wedding is one of the most exciting experiences you’ll share as a couple. But let’s be honest: figuring out how much everything costs can feel a little overwhelming.

Between the venue, catering, flowers, photography, entertainment and all the little details in between, it’s easy to wonder where to even begin.

As the Director of Sales & Client Relations at Villa Chanticleer, a wedding venue in Healdsburg, California, I work with couples who are navigating these exact questions.

One of the first things I always want couples to know is that a beautiful Sonoma County wedding doesn’t have to mean spending beyond your comfort zone.

The secret isn’t necessarily cutting everything from your wish list. It’s understanding where your money goes, identifying what’s most important to you and making thoughtful decisions from the very beginning.

Whether you’re planning an intimate celebration or a wedding with 200 of your favorite people, here are my tips for creating a wedding budget that works for you.

1. Start With Your Total Wedding Budget, Not Your Guest List

Before you start touring wedding venues or reaching out to vendors, I recommend having an honest conversation about your overall budget.

How much are you comfortable spending? Will family members be contributing? Are there certain wedding elements you’re willing to splurge on?

There isn’t one right answer.

Some couples prioritize an incredible dinner and memorable guest experience. Others care most about photography, entertainment or finding a venue with a beautiful natural setting.

My advice? Choose your top three priorities together.

Maybe it’s:

  • A gorgeous outdoor ceremony surrounded by nature.
  • Amazing food and drinks that your guests will remember.
  • A dance floor that’s packed until the very last song.

Once you know what matters most, it becomes much easier to decide where to invest and where you can comfortably save.

2. Look Beyond the Venue Rental Price

One of the biggest budgeting mistakes I see couples make is comparing wedding venues based solely on their rental fees.

A venue might initially seem more affordable, but what happens when you start adding everything you need to host your celebration?

Tables. Chairs. Getting-ready spaces. Ceremony areas. Restrooms. Parking. Bar equipment. Additional rentals.

Those expenses can add up quickly.

When comparing Sonoma County wedding venues, I always encourage couples to ask one important question:

“What is actually included in the venue fee?”

The Value of an All-in-One Wedding Venue

At Villa Chanticleer, one of the things I love showing couples is just how much is already included when they book our property.

Located among the beautiful oak trees and redwood groves of Healdsburg’s Fitch Mountain, our historic venue offers both indoor and outdoor spaces for weddings of up to 250 guests.

Our wedding site fee includes amenities such as:

  • A beautiful outdoor ceremony garden with a gazebo.
  • Two spacious indoor event areas.
  • Tables and chairs for up to 250 guests.
  • Two on-site getting-ready rooms.
  • An iconic built-in bar and bar glassware.
  • A commercial kitchen for catering teams.
  • On-site parking for up to 151 vehicles.
  • Indoor heating and air conditioning.
  • Lounge furniture and additional event furnishings.

Having these amenities available can reduce the need to source additional rentals and coordinate multiple deliveries.

And beyond the potential savings, it makes the planning process easier.

Instead of spending hours figuring out where to rent 200 chairs or how to transport furniture to your ceremony location, you can focus on the details that make your wedding personal.

That’s something I always encourage couples to consider when comparing venues.

3. Your Wedding Date Can Make a Big Difference in Your Budget

Here’s a wedding budgeting tip that couples sometimes overlook:

Being flexible with your wedding date can create opportunities for significant savings.

Saturday weddings during peak wedding season are popular, but they’re not your only option.

In Sonoma County, spring, fall and even winter can provide beautiful settings for a celebration.

At Villa Chanticleer, our venue pricing varies depending on the season and day of the week.

For example, our published 2026 and 2027 wedding site fees range from $3,000 for select off-season weekdays to $8,750 for peak-season Saturdays. Villa Chanticleer

That means couples with flexibility may be able to save thousands on their venue rental alone.

And that money could go toward an upgraded menu, a photographer you’ve been dreaming of or simply staying comfortably within your budget.

Consider a Friday or Sunday Wedding

Friday and Sunday weddings can be wonderful alternatives to traditional Saturday celebrations.

They can also create opportunities to turn your wedding into an entire weekend experience.

Imagine welcoming your guests to Healdsburg on Friday, celebrating your wedding on Sunday and spending the days in between exploring local restaurants, wineries and everything Sonoma County has to offer.

For couples planning a destination wedding in Wine Country, this can be a particularly appealing option.

My advice: Before committing to a date, ask your venue about seasonal pricing, weekday availability and any opportunities for savings.

4. Let Your Venue’s Natural Beauty Do Some of the Decorating

Flowers and wedding decor are wonderful ways to personalize your celebration, but they can also become significant expenses.

One of my favorite pieces of advice is to choose a venue that already has the atmosphere you’re hoping to create.

If you’ve always imagined getting married surrounded by beautiful trees, lush greenery and romantic garden details, why spend thousands trying to recreate that setting somewhere else?

At Villa Chanticleer, our ceremony garden is one of the first spaces I love showing couples.

With towering trees, established landscaping and a charming gazebo, it provides a naturally beautiful backdrop for exchanging vows.

Many couples find that they can keep their ceremony decor simple and still achieve the look they want.

A few thoughtful floral arrangements, beautiful personal touches and the surrounding landscape can be all you need.

Consider Renting Decor Instead of Buying Everything

Another way to save is to think carefully about the decor you’ll actually need.

Before purchasing dozens of vases, candleholders, table settings or floral arrangements, ask your venue whether they offer rental options.

At Villa Chanticleer, we offer optional in-house dinnerware and decor rentals that can help couples avoid additional rental deliveries and purchases.

Our collection includes decorative pieces and lifelike floral arrangements that can complement a variety of wedding styles.

It’s a practical way to create a beautiful setting without purchasing items you may never use again.

And as a bonus, it’s one less thing you’ll have to transport home after your wedding!

5. Be Strategic With Your Guest List

I know this can be one of the trickiest conversations during wedding planning.

You want to celebrate with everyone you love, but every additional guest affects your budget.

More guests generally means additional spending on catering, beverages, place settings, invitations and potentially transportation.

For example, if your combined catering and beverage cost is $150 per guest, inviting 20 additional people would add approximately $3,000 to your budget before accounting for other guest-related expenses.

That doesn’t mean you need to have a small wedding.

It simply means understanding how your guest count affects your overall spending.

Find a Venue That Fits Your Celebration

One of the things I appreciate about Villa Chanticleer is the flexibility of our event spaces.

We can accommodate celebrations of different sizes, from smaller gatherings to larger weddings with up to 250 guests.

Our indoor and outdoor spaces allow couples to create different experiences throughout the evening, from a garden ceremony to cocktails around our historic bar and dinner and dancing inside.

The goal is to find a space that feels comfortable and welcoming for the people you’re bringing together.

Because at the end of the day, it’s not about how many people are on your guest list.

It’s about celebrating with the people who matter most.

6. Work With Wedding Professionals Who Understand Your Budget

This is one of the most important pieces of advice I can share.

You don’t have to figure everything out on your own.

Wedding planning involves a lot of moving pieces, and having experienced professionals to guide you can make a tremendous difference.

When couples visit Villa Chanticleer, I want them to feel comfortable asking questions about everything from venue pricing and vendor requirements to rentals and event logistics.

It’s my job to help couples understand the property, what their site fee includes and how the venue can accommodate their vision.

Sometimes that means helping them compare different wedding dates.

Other times, it’s explaining which rentals are already available or connecting them with professionals who understand the venue.

Why an Experienced Wedding Coordinator Matters

A professional wedding planner or coordinator can be an invaluable resource when it comes to managing your budget.

An experienced coordinator can help you:

  • Understand which wedding expenses to prioritize.
  • Build a realistic planning timeline.
  • Compare vendor proposals and identify potential additional costs.
  • Coordinate logistics between vendors.
  • Keep track of important deadlines and decisions.
  • Avoid unnecessary last-minute expenses.

At Villa Chanticleer, we require couples to hire at least a day-of wedding coordinator.

While coordination services are not included in our venue fee, our team can help connect couples with approved wedding professionals who understand the property.

We also offer vendor consultations to help couples find professionals who align with their budget, preferences and planning needs.

Working with vendors who are already familiar with the venue can make planning more efficient and help avoid unexpected logistical challenges.

My advice: Don’t think of a wedding coordinator as simply another expense. Think about the time, guidance and peace of mind an experienced professional can provide throughout the planning process.

7. Ask About Bar Packages and Catering Options Early

Food and beverages often represent one of the largest portions of a wedding budget.

That’s why I recommend exploring your catering and bar options early, ideally before finalizing your venue.

Different venues have different policies regarding outside caterers, alcohol service, staffing and rentals.

Understanding those requirements upfront can help you avoid surprises.

Finding a Bar Package That Fits Your Celebration

At Villa Chanticleer, our historic U-shaped bar is one of the most recognizable features of the property.

It’s also one of my favorite gathering spaces!

We offer several bar packages to accommodate different preferences and budgets, including beer and wine service, specialty cocktails and nonalcoholic options.

Our published bar packages include options starting at $25 per person, with a $2,000 event bar minimum. Villa Chanticleer

Having multiple options allows couples to select the experience that makes the most sense for their celebration.

For some couples, a thoughtfully selected beer and wine menu is perfect.

Others might want to incorporate a signature cocktail that reflects their personalities.

The important thing is finding a balance between the guest experience you envision and the budget you’ve established.

8. Don’t Forget the Wedding Expenses That Are Easy to Overlook

Even the most carefully planned wedding budget can run into unexpected expenses.

When you’re putting together your numbers, remember to account for costs that may not be included in initial vendor estimates.

These can include:

  • Sales tax and service charges.
  • Vendor gratuities.
  • Wedding insurance.
  • Additional event hours.
  • Transportation or shuttle services.
  • Vendor meals.
  • Setup and breakdown fees.
  • Outside-vendor fees, where applicable.
  • Alterations, accessories and beauty services.
  • Marriage license fees.

I always encourage couples to ask vendors for detailed proposals and to clarify what’s included before signing a contract.

At Villa Chanticleer, for example, couples should review our approved-vendor policies and any applicable fees when considering outside professionals.

You can find answers to many of these questions in our wedding venue FAQ.

Always Leave Room for Unexpected Expenses

One of the smartest things you can do is build a contingency fund into your wedding budget.

Even setting aside an additional 5% to 10% of your total budget can provide a helpful cushion for unexpected expenses or last-minute changes.

And if you don’t end up needing it?

That’s money you get to keep for your honeymoon, your first home or whatever comes next!

9. Remember What You’re Really Celebrating

After helping couples navigate the wedding planning process, there’s one thing I always come back to.

Your wedding should feel like you.

Not what social media says it should look like.

Not what someone else’s wedding looked like.

And certainly not what you feel pressured to spend.

Some of the most memorable celebrations are the ones where couples focus on creating an experience that feels personal, welcoming and meaningful.

Maybe that’s a beautiful outdoor ceremony followed by dinner with your closest friends and family.

Maybe it’s an unforgettable dance party.

Or maybe it’s simply having everyone you love together in one place.

Whatever your vision, thoughtful budgeting gives you the freedom to focus on those moments rather than worrying about every expense.

And that’s what I hope every couple experiences when planning their wedding.
